Service Terms & Conditions

These Terms & Conditions ("Terms") govern all translation and interpreting services provided by Via Nova Translation Services ("we", "us", "our") to the client ("you", "your"). By requesting a quote, commissioning work, or using our services, you agree to these Terms.

Services Provided

We offer professional translation, interpreting, and related linguistic services. The scope of work for each project is defined in the quote we provide and confirmed by you before work begins.

Pricing & Quotes

Variable Pricing

Because every project is unique, pricing is based on factors such as:

  • Word count or project size
  • Language pair
  • Subject matter complexity
  • Formatting requirements
  • Urgency or turnaround time
  • Interpreting duration and location

Quotes

  • All quotes are free, non-binding, and valid for 30 days unless stated otherwise.
  • A quote becomes binding only once you confirm acceptance in writing.
  • If the source material changes after the quote is issued, we may revise the price accordingly.

Additional Charges

Additional fees may apply for:

  • Rush or same-day delivery
  • Certified or notarised translations
  • Complex formatting, transcription, or typesetting
  • Changes requested after work has begun

We will always inform you before applying any additional charges.

Delivery Timelines

Estimated Delivery

  • Delivery dates are estimates, not guarantees.
  • We will always aim to meet agreed deadlines and will notify you promptly if delays occur.

Client Responsibilities

Delivery timelines depend on:

  • Timely provision of source materials
  • Clear instructions
  • Prompt responses to queries

We are not responsible for delays caused by missing information or late client responses.

Revisions & Quality Expectations

Quality Standards

We provide services with reasonable skill, care, and professionalism. Translations are produced by qualified linguists and reviewed for accuracy and clarity.

Revision Policy

  • You may request reasonable revisions within 14 days of delivery.
  • Revisions are free if they relate to accuracy or errors in our work.
  • Revisions due to changes in the source text, client preference, or new instructions may incur additional charges.

Style & Preference

Translation involves interpretation and stylistic choices. We will follow any style guides or preferences you provide, but stylistic differences do not constitute errors.

Cancellations & Refunds

Translation Projects

  • If you cancel before work begins, no fee is charged.
  • If you cancel after work has started, you will be charged for the portion completed.
  • Completed work is non-refundable.

Interpreting Services

  • Cancellations made more than three business days before the booking: no charge.
  • Cancellations within three business days: up to 100% of the fee may be charged, depending on preparation time and interpreter commitments.
  • Travel or accommodation costs already incurred are non-refundable.

Limitations of Liability

General Limitation

To the fullest extent permitted by law:

  • We are not liable for indirect, incidental, or consequential losses.
  • Our total liability is limited to the amount paid for the specific project.

Use of Translations

We are not responsible for:

  • Losses arising from the client's use of translations for purposes beyond their intended scope
  • Errors resulting from unclear, incomplete, or incorrect source materials
  • Legal consequences of using translations without appropriate certification or review

Client Responsibility

You are responsible for:

  • Ensuring the accuracy of source materials
  • Reviewing the final translation for suitability before use
  • Obtaining legal or professional review where required (e.g., legal, medical, or technical documents)

Confidentiality

We treat all documents and information as confidential. Files are stored securely and shared only with authorised linguists or staff involved in your project.

Intellectual Property

  • You retain ownership of your source materials.
  • Upon full payment, you receive the rights to use the translated materials.
  • We may retain copies for recordkeeping unless you request deletion.

Payment Terms

  • Payment is due within 14 days of invoice.
  • Late payments may incur interest in accordance with the Late Payment of Commercial Debts Act.
  • For large projects, we may require a deposit.

Governing Law

These Terms are governed by the laws of England and Wales, and any disputes shall be resolved in the courts of England and Wales.
